Formal and informal register

Situation and circumstances determine the expected register of language.

 

Formal

 

When we need to speak with care. This is an impersonal way of speaking often with long words and accurate grammar. We may use formal English when constructing a legal argument, a presentation or at a conference or business meeting. The news will commonly be broadcast using formal register and people such as politicians will use it. Whilst possible to use, it is not very common in emails.

 

Informal

 

In contrast, informal register is what is most commonly used between friends. Informal English is not so grammatically correct. Most common in speech, quick emails particularly with people that are familiar or friendly with each other.

 

Sarah the sales manager of Big Company Ltd has sent an email to a potential client but, is surprised by their lack of interest.

 

Dear Alan, I am sorry for the delay in responding to your call. We are committed to always providing the best prices to all our clients. I promise that because of this, we have already provided you with a very competitive price that will not be improved on by any of our competitors.  Please could you provide us with a list of your requirements so we can provide you with a detailed written quote. See you soon.

 

After a meeting with colleagues, it has been decided that the informal language was unhelpful and she have been written in a more formal way.

 

 

Dear Alan, please accept our apologies for the delay in responding to your call. We are committed to always providing the best prices to all our clients. Please be assured that because of this, we have already provided you with a very competitive price that will not be improved on by any of our competitors.  We would be grateful if you could provide us with a list of your requirements so we can provide you with a detailed written quote.
